Replying Using Autoresponder |

Replying to incoming messages is what this kind of autoresponder lives for so it is no wonder it is easy to configure the program to do it.
Simple Reply
Double-click the autoresponder’s icon, and click the “Reply” tab. This tab not only allows you to edit the reply itself but you can also use it to define the criteria an incoming message must meet in order to be replied to, define additional actions to take, and more.
To define the incoming message criteria I mentioned above, click the “Mail Filter” button. Read this section to learn more about the topic: User-Defined Mail Filters.
Click the “Message” button to edit the reply. To find out about the message editor, read: Composing Mail Messages.
Limiting the Number of Replies
Sometimes you may want to limit the number of replies that go to the same email address. For instance, when you leave your office, you may get five messages from the same person. If you have an "I'm away" autoresponder (see Tutorial: Creating "I'm away" Autoresponder), it may be desirable to set it up so that anyone contacting you receives the reply only once. Turn on the option labeled "Do not reply to any given address too often", click the "too often" link, and choose how often you want the program to send replies if someone writes more than once.
Other Options
You can also tell the autoresponder to forward to you any message to which it replies. It can also be set up to send a predefined notification to you whenever it replies to an email (Sending a Message When New Mail Arrives).
To find out how you can use the “Form/Parsing” button (Business edition or better) to extract text from messages being replied to, read this section: Extracting Text from Messages. |
