Using FollowUpExpert Business edition or better, you can create several kinds of reports about the activity of your mailing list or autoresponder. The reports can be viewed in a web browser or they can be loaded into a spreadsheet program (e.g. Microsoft Excel) to give you the kind of data you need to track the effectiveness of your mailings.
Reports Tab
Click the icon representing an autoresponder and click the “Reports” tab. Below you may see what it looks like.
As you can see, there are three kinds of reports you may create. You may either view a report (“View” buttons) or export it to a file (“Export” buttons). Below I describe the reports FollowUpExpert provides.
Report about Outgoing Messages
This report (“Outgoing messages report”) lists all messages sent by the mailing list/autoresponder. It displays the recipient’s email addresses, the date each message was sent, and the source of the message (“Source Hint”).
You can use the window that shows up after you click the “View” or the “Export” button to customize the report.
You can decide to include all messages (“All messages” check box) or just replies (“Autoresponder replies” check box) or follow-up messages (“Follow-up messages” check box) or both.
To include only certain email address in the report, mark the “Enable filtering” check box and type the address in the “Recipient email filter” text box. You may also mark the “Enable regular expressions” check box if you want to use more advanced filtering. For instance, this is how a regular expression that includes email addresses at “yourdomain.com” (e.g. “martinb@yourdomain.com”, “joep@yourdomain.com” etc.) looks like:
.*@yourdomain\.com
To find out more about regular expressions, read this section Regular Expressions.
After you click the “Export” button, you may choose between two file formats (“Files of type” drop-down list). Select “Comma-Separated Values” if you want to export to a format supported by most of Windows applications or “Html Files” to export to an HTML file.
Report about Subscribe and Unsubscribe Requests
This report (“Subscribe and unsubscribe requests report”) shows how the list of subscribers changed over time. This includes both subscribe and unsubscribe requests, as well as manual additions and removals from the database.
The resulting report displays a subscriber’s email address, the type of the action (e.g. “Subscribe” vs. “Manual Add”), the date and the action source hint.
You can use the window that shows up after you click the “View” or the “Export” button to customize the report.
You can choose what types of actions you want to include using the check boxes grouped under the “Include the following actions in the report” label.
To include only certain email address in the report, mark the “Enable filtering” check box, and type the address in the “Recipient email filter” text box.

After you click the “Export” button, you may choose between two file formats (“Files of type” drop-down list). Select “Comma-Separated Values” if you want to export to a format supported by most of Windows applications or “Html Files” to export to an HTML file.
Report about Subscribers
This report (“Subscriber report”) contains the information about subscribers that are on the mailing list.
The window that shows up after you click either the “View” or the “Export” button lets you choose the order of the items in the report.
The report includes a subscriber's email address, his or her name, the name of the last follow-up message sent to this subscriber, and the date it was sent, plus the name and date of the next follow-up message.
After you click the “Export” button, you may choose between two file formats (“Files of type” drop-down list). Select “Comma-Separated Values” if you want to export to a format supported by most of Windows applications or “Html Files” to export to an HTML file. |
